Pursuant to Oregon Public Records Law (ORS 192.311 – 192.431), I respectfully request all records related to the University of Oregon’s Request for Proposal for Fleet Printer and Copier Program (PCS# 433300 00117 RFP).
Unless otherwise specified, this request covers the period from June 22, 2022 (RFP release date) through the present.
A. Award and Contract Documents
Please provide:
1.    Notice of Intent to Award and/or Notice of Award, including the award date and awarded vendor.
2.    The fully executed contract (master agreement) awarded under this RFP, including all exhibits, attachments, schedules, and incorporated documents.
3.    All amendments, renewals, extensions, and change orders issued under this contract through the present.
4.    All pricing documents incorporated into or referenced by the contract, including but not limited to: 
o    Per click rate schedules
o    Device pricing catalogs
o    Service, labor, installation, move/add/change, and optional service rates
5.    Final Statement of Work (SOW) and Service Level Agreements (SLAs) governing the awarded program.
B. Proposals Submitted
Please provide:
6.    The complete proposal submitted by the awarded vendor, including all technical, pricing, and administrative volumes, exhibits, appendices, and attachments.
7.    The complete proposal submitted by Ricoh USA, Inc., including any clarification responses, revised pricing, or Best and Final Offer (BAFO) submissions.
8.    Any exception lists or contract redlines submitted by the awarded vendor or Ricoh in response to UO terms and conditions.
C. Evaluation and Scoring Records
Please provide:
9.    The evaluation criteria, weighting scheme, scoring rubric, and evaluation methodology used.
10.    Individual evaluator score sheets for all proposers.
11.    Consensus score sheets, final scoring summaries, and rank order of proposers.
12.    Evaluator notes, comments, worksheets, and memoranda created during the evaluation process.
13.    The names, titles, and departments of individuals who served on the evaluation committee.
14.    Any responsiveness determinations, compliance checklists, or pass/fail assessments.
D. Communications and Decision Records
Please provide:
15.    All communications between University of Oregon personnel and proposers relating to this RFP, including emails, clarification requests, responses, and negotiation communications.
16.    Internal communications among University of Oregon personnel related to the evaluation, selection, and award process (including emails, memos, meeting minutes, and notes).
17.    Records related to vendor presentations, demonstrations, or interviews, including presentation materials, agendas, attendance records, and evaluator feedback.
